We provide a workflow for managing the creation and approval of purchase orders while automating the submission of purchase orders directly to your vendors. Choose to email the PO automatically to your vendor or download it as a PDF for your records.

Create & Approve
To create a new purchase order, go to the 'Inventory' tab in the left side menu and click 'Create Purchase Order.' You will need to fill out the drop-downs for Vendor, Warehouse, and the Requested Delivery Date before you continue to add products.
Once you have picked the date, if there are other orders from the same vendor for the same date, an orange box will appear displaying them as a reminder.
In the Products field, start typing the product you wish to add and a drop-down list with suggestions will show up. Next, adjust the quantity and click the blue 'Add Product' button to add it to the list at the bottom of the page. On the right, a summary of your order and all relevant details will appear. Click 'Create PO' and confirm with 'Yes' to create it.
Once you have completed all the steps, a pop-up box will appear asking you what you would like to do next.
Click 'View PO' to continue viewing and approving the current purchase order or 'New PO' to leave this purchase order in Pending status and start a new one.
Review & Submit
Upon clicking the 'View your PO' button, the below screen will appear. You can accept or reject the order in the bottom right corner, in the PO Summary box.
Rejecting the PO will keep a record of the order with a Cancelled status.
Approving the Pending PO will change the status to 'Approved' and bring up a set of options:
Clicking 'Submit' will take you to view the approved PO. A notice will pop up, notifying you that any edits you make will change the status back from Approved to Pending. You have the option to Email or Print a PDF of the approved PO to finalize and submit it.
Clicking 'View List' will bring you to a list of past purchase orders you have created as well as their status and details. In the 'Actions' column, the blue and red eyes both take you to the 'View Purchase Order' page for that particular order. The green arrow button allows you to receive this purchase order.
At the bottom of each PO page, there is a list showing the submission history for each PO.
Once you have submitted it, you will be brought back to the page showing a list of your purchase orders.
